Online appointment management for the real estate industry

Online appointment management means: your available times are online, your contacts pick one of them themselves, and the confirmation goes out without any effort on your part. You no longer phone around with appointment proposals; instead, you see in the morning what was booked overnight.

In the real estate industry this goes beyond viewings: consultations, apartment handovers, property surveys, tradesperson appointments and owner meetings all follow the same pattern — several participants, tight time windows, a change of location in between. This page explains what online appointment management consists of, where manual coordination costs time, and what the process looks like with timum.

What online appointment management consists of

Four building blocks, regardless of the provider:

  1. Availability. The rules for when booking is allowed at all: consultation hours, buffers between two appointments, lead time, appointment duration per occasion. Once set up, they apply to every booking.
  2. Booking channels. The route by which your contact reaches the calendar — a link in the email, a widget on the website, a QR code in the property listing, an entry in the Google Business Profile.
  3. Confirmation and reminder. An automatic message right after booking, a reminder before the appointment, and the option to cancel in two clicks.
  4. Sync back into your systems. The booked appointment appears in your calendar and in the CRM, the contact details are captured, and the slot is blocked for others.

If any one of the four is missing, rework follows: without rules, bookings arrive at inconvenient times; without sync back, you retype appointments; without a reminder, the no-show rate rises.

Where manual scheduling costs time

The effort rarely lies in the individual call, but in the chain before and after it:

  • Appointment proposals and follow-up questions. You list a property and have fifteen enquiries the same evening. Sending proposals, waiting for replies, adjusting proposals: for a single viewing, half an hour of pure coordination quickly adds up.
  • Double bookings. Two colleagues assign the same slot because one calendar doesn't know about the other.
  • Prospects who don't show up. 20–30% of agreed appointments fall through with no replacement. You've still made the journey.
  • Retyping. Every appointment agreed by phone is entered twice: once in the calendar, once in the CRM.

With eight enquiries a day and five minutes of scheduling per call, that comes to around 170 hours a year — just for the scheduling, not yet counting the missed appointments. This calculator works out what that costs you: calls per day, no-show rate, viewing duration.

How online appointment management works with timum

  1. Set your availability once. You store consultation hours and buffers as a rule. timum generates the bookable times from them, rather than you entering individual slots (Consultation hours rules).
  2. Connect your calendar. Outlook, Google and Apple iCloud are synchronized in both directions: private appointments block time automatically, and booked appointments land in your calendar (Calendar sync).
  3. Choose the booking mode. For each channel you decide whether bookings are immediately binding, request-only, or by invitation only (Three booking modes).
  4. Share the link. The same calendar can be reached as a link, as a widget on your website, as a QR code in the property listing and via your Google Business Profile (Booking channels).
  5. Confirmation and reminder run automatically. After booking, the confirmation goes out; 24 hours before, the reminder follows with the address and a two-click cancellation. Anyone who cancels frees the slot again (Appointment reminders).
  6. The appointment flows back into your system. Via the CRM integration, the booking with contact details appears where your team works anyway (CRM integration).

Appointment management in teams and across multiple locations

As soon as several people assign appointments, scheduling turns into coordination. timum maps this through provider calendars: every team, location and project gets its own calendar, and the available times of all properties come together in one view. You control who looks after which property through responsibilities — notifications go to the person in charge, not to everyone.

What this looks like in a real estate agency with twelve people is described in Coordinating team calendars and viewings centrally.

What changes measurably

Tip

Providers report up to 90% less coordination effort. Automatic reminders reduce the no-show rate from 20–30% to under 10%. More than 2 million appointments have already been coordinated through timum, by more than 5,000 providers.

The first bookable calendar is ready in about 15 minutes: connect your calendar, enter your consultation hours, send the booking link.

Frequently asked questions about online appointment management

Do I need my own website for this? No. The booking link works without a website — in the email, in the property listing, via QR code or through your Google Business Profile. If you do have a website, the calendar can be embedded directly as a widget.

What happens when someone cancels? Every confirmation and reminder email contains a cancellation link. Whoever cancels frees the slot, and the time is immediately available for booking again. You are notified, but you don't have to update anything.

Will my private appointments be visible? No. From connected calendars, timum only reads the information that a time is busy — titles and attendees are left out.

Where is the data stored? On servers in German data centers, delivered via the Frankfurt am Main location, with automatic deletion periods. Details under Security & data protection and Data security & GDPR.

What does online appointment management cost? timum bills through tickets: one ticket activates a property for 30 days with an unlimited number of appointments. Ten property tickets cost €40 a month net, which is €4 per property; team members are free on every plan. Individual tickets are available without a plan for €7 net, with no base fee and no minimum term. The plans are listed under Pricing.
