Automate Appointment Coordination for Property Viewings
You list an apartment and by that evening you have fifteen inquiries in your inbox. Then comes the usual back and forth: sending appointment proposals, waiting for replies, adjusting proposals, making phone calls. A single viewing appointment quickly costs you half an hour of pure coordination – time you don't have for the actual rental work.
How timum solves this
With timum, you give prospects a booking link they use to pick a free slot from your calendar themselves. You set up your availability once – timum only shows slots that are truly free and syncs your personal calendar, so double bookings are ruled out.
- Prospects book on their own around the clock, without you having to make a single phone call.
- Every booking lands in your calendar automatically, including the prospect's contact details.
- Confirmation and reminder go out automatically – you don't have to think about a thing.
What you set up once
Three steps, after which it works the same way for every property:
- Connect your calendar. Outlook, Google or Apple – all three on an equal footing and in both directions. timum evaluates the free/busy status; private appointments stay private and still block time (Calendar Synchronization, guide).
- Set your consultation hours. Instead of entering individual slots, you define rules per weekday. From these, timum generates the bookable times – permanently, not just for this week (Consultation Hour Rules).
- Create an appointment type. "Viewing, 30 minutes, 15 minutes buffer" – set once, it applies to every property that offers this appointment type (Appointment Types).
Allow about 15 minutes until you send your first booking link (Getting Started).
Where the booking link belongs
The effort doesn't disappear because you send the link on request – it disappears because the link sits where the inquiry originates:
- In the property listing and the portal ad – as a link or QR code from the channel settings (QR Codes).
- On your website – as a button or embedded widget, so prospects don't have to leave the page (Booking Widget, guide).
- In your Google Business Profile – "Book an appointment" directly from Search and Maps (Google Business Profile).
- In your reply email – for everyone who writes first anyway.
Multiple properties can be offered in a single widget, on every plan (Shared Availability View).
If you don't want to confirm everyone right away
For each booking channel, you decide how bookings work. Direct booking confirms immediately – right for rentals, where speed matters. Request shows you the preferred time first, and you accept, reschedule or decline (Three Booking Paths, Request vs. Direct Booking). You can distribute the same calendar publicly and, in addition, as an exclusive invitation to individual contacts.
Who sees the property address
If you wish, nobody who hasn't made a binding booking: with the "hidden" setting, the address appears neither on the booking page nor in the confirmation, but arrives automatically with the reminder email 24 hours before the appointment (Address Release). This keeps curious onlookers away from the property without you having to send a single address by hand.
